Microsoft Campus Agreement
A campus agreement with Microsoft for office software, core client access licenses, and operating system upgrades was put in place for all university owned computers and for home use by faculty and staff on November 15, 2005. Student-owned computers are not covered under the terms of the campus agreement.
Campus Agreement Presentation
A presentation to the UF community regarding the Campus Agreement was made on November 17, 2005 at the Reitz Union Auditorium. Dr. Mike Conlon of the UF Office of Information technology, Marie Tosi of Microsoft and Julie Mitchell of Dell presented the agreement and answered questions. Meeting duration was 1 hour, 31 minutes. Software Included
Software included: Any currently supported ‘enterprise’ version of Microsoft Office for Windows (2007 or earlier) and Mac (2008 or earlier), any currently supported version of the Windows client operating system (Vista or earlier), and core client access licenses (CAL’s) for client connectivity to certain Microsoft servers and services.
Core CAL’s include Windows server, Exchange, SMS and Share Point. A CAL is required for each computer accessing one of these Windows Server services.
The Windows Client Operating System includes Windows XP and Windows Vista. All licensed copies of the Windows client operating system can be upgraded to current versions of Windows. Keep in mind that the computer must already ‘own’ a Windows client license in order to be eligible. However, the licensed version of Windows does not need to be installed on the system. For example, if your department builds a new computer from parts it will not be eligible and a Windows license must be purchased. The department may have an unused (non-OEM) license for an older version of Windows that can be assigned to the new computer yet not actually installed, making the computer eligible for Vista under the terms of the agreement. Alternatively, a Dell that came with a license for Windows XP *can* simply be upgraded to Vista under the agreement with no additional license purchased.
The following are examples of software that are not included: Windows server software, SQL Server client access licenses, FrontPage, Visio, OneNote and PDA software.

Covered Computers
All UF-owned computers are covered regardless of location. All computers owned by other DSO’s are covered. The Faculty Group Practices are covered. Shands Health Care-owned computers are not covered.
Work at Home extends to all faculty and staff of organizations with covered computers. Under this portion of the agreement, one computer that is owned and operated by covered faculty and staff may also obtain the same client and office software benefits as a UF-owned computer. For work at home, the employee must obtain copies of software from the UF bookstore for the ‘cost of media’, which is currently about $10 for each software product. Gator 1 cards will be checked at the time of purchase to verify eligibility and track quantity. More detail on the work at home program is available on the UF software licensing site.
Microsoft (Dell) Select Agreement
A second agreement for licensing Microsoft products (the Select Agreement) remains in place. Products not covered under the Campus Agreement can be obtained through the Select Agreement. Please see the current Select Agreement Price List for product numbers and pricing. Media and licensing will be purchased through Dell, although in most cases it is not necessary to purchase media. You can download the software from the Microsoft Volume Licensing Site (MVLS) and start using it immediately, needing only to have purchased appropriate licensing during the same calendar month in which the software was installed.
Software Distribution and MVLS Access
Under the Campus Agreement, individual units can purchase Windows client and Office media through the existing Select Agreement with Dell, purchasing only media with no license keys. These media kits can be used to install the software an unlimited number of times on covered computers. No licenses need to be purchased for covered computers since the licenses are provided by the Campus Agreement. Alternatively, this software can simply be downloaded from the MVLS with no need to purchase either software or licensing.
Microsoft provides the MVLS at http://licensing.microsoft.com/. This site will be available to authorized UF system administrators. Additional information on MVLS authorization can be obtained by contacting UF’s MVLS administration team with your user name and department. Requests for authorization will need to be approved by a college or department IT director, and simply making a request does not guarantee approval. Most Microsoft products can be downloaded from the MVLS site. New products and versions may be available here before they are available on media.
Renewal
The Campus Agreement is renewed annually, with an expiration date of November 15, 2008. The current (2007 – 2008) Campus Agreement number is 7935165. The current (2007 – 2008) Select Agreement number is 7133077.
